1. Who we are and this agreement

PeopleBook is operated by W Creates Digital Pte. Ltd., trading as W Creates Digital (“we”, “us” or “our”). These Terms govern your use of PeopleBook. By using the service for an organisation, you confirm that you are authorised to accept these Terms on its behalf. If you do not agree, do not use the service.

2. Service scope and available features

PeopleBook provides workspace administration, employee records, leave and claim requests, approval records, schedules, attendance clocking, basic module records and draft payroll calculations where enabled. Some functions are incomplete. Payroll finalisation, bank transfers, government submissions, private document uploads, live SumBook synchronisation and MCP access are not enabled in this release. A displayed module does not promise a completed workflow.

3. Accounts and workspace authority

Use accurate account information and protect your password, verification links and sessions. Owners must authorise members and assign only necessary roles. Invitations are intended for the named recipient. You may access only organisations, teams and employee records you are authorised to use. Tell your administrator promptly when access should end or you suspect unauthorised use.

4. Employer and HR responsibilities

Your organisation remains responsible for employment decisions, lawful policies, required notices, approval authority and compliance with applicable employment and data protection law. Verify employee eligibility, work arrangements and source documents before relying on records. PeopleBook does not act as the employer or provide legal, employment or tax advice, certification or government approval.

5. Employee data responsibilities

Upload or enter employee information only with appropriate authority and for a legitimate, notified purpose. Keep it accurate and proportionate, restrict access and avoid unnecessary medical, identification, banking or dependent details. Employees should report inaccuracies through their employer. Workspace access does not grant permission to use workforce information for unrelated purposes.

6. Payroll responsibilities

Current payroll results are drafts, not final payslips, payment instructions or government submissions. The employer must verify salary inputs, wage classifications, eligibility, CPF basis, effective dates, deductions, contributions and statutory rules. Do not use unverified calculations to pay salaries. Saving or calculating a run does not mean employees, CPF Board or another recipient have been paid.

7. Leave, attendance and HR records

Leave entitlements currently require HR configuration and verification; automated statutory eligibility and some combined-leave rules are incomplete. Check working days, holidays, balances, approvals and cancellations. Clock entries are evidence of recorded events, not a complete determination of hours worked or pay entitlement. Missing or late clock entries must not automatically justify unlawful salary deductions.

8. Plans, fees and cancellation

No paid subscription checkout is enabled in this release. Any future paid service, renewal, cancellation or refund terms must be disclosed and expressly accepted before charges are authorised. We do not use employment or payroll records as authority to charge your organisation or employees. Mandatory rights and any separate written order remain applicable.

9. Your data, confidentiality and exports

You retain rights in the records you supply. You authorise us to process them only as needed to operate, secure and support the service, follow lawful instructions and comply with law. Non-public workforce data is confidential. Available CSV exports cover selected authorised table data, not a complete backup of every record. Keep independent copies required by your organisation.

10. Acceptable use

Do not falsify records, impersonate users, bypass access controls, expose another employee’s private information or use the service for unlawful discrimination, surveillance, harassment or fraud. Do not introduce malware, disrupt availability or test security without permission. Report security concerns without accessing or extracting another organisation’s data.

11. Third-party services and integrations

PeopleBook uses Supabase for authentication/database services and Sites infrastructure for hosting. SumBook remains a separate product. Live SumBook and AI/MCP connections are currently disabled. Future integrations require explicit authorisation for the correct organisation, destination and scopes; provider terms also apply. Never treat a connection setting as proof that data was delivered, accepted or paid.

12. Software and trademarks

PeopleBook software, design and branding belong to W Creates Digital Pte. Ltd. or its licensors. PeopleBook is a trademark of W Creates Digital. You may use the service for lawful authorised HR administration within your access rights. No right to resell the software, copy proprietary assets or imply our endorsement is granted. Your organisation’s branding and records remain separate.

13. Availability, support and changes

The service may be affected by maintenance, incidents, network failures or third-party dependencies. No uptime or support-response commitment applies unless separately agreed in writing. We may improve or change features and will give notice of material changes where appropriate or required. The footer change notice does not override agreed commercial terms or mandatory legal rights.

14. Suspension, closure and data retention

We may restrict access for security risks, unlawful use, material breach or legal requirements. Contact us to request closure or deletion; these are not currently automatic self-service operations. Export necessary records first. Signing out or disconnecting an integration does not delete records. Retention and any required preservation follow the Privacy Policy and applicable law.

15. Warranties and liability

To the extent permitted by law, the service is provided as available without a promise that every calculation or record is complete or error-free. You must review important employment and payroll outcomes. Nothing in these Terms excludes obligations or liability that cannot lawfully be excluded, including applicable data protection duties, or removes your mandatory legal rights.

16. Governing law and disputes

These Terms are governed by Singapore law, subject to mandatory protections that apply to you. Contact us so we can first try to resolve concerns in good faith. Subject to mandatory jurisdiction rules, disputes fall within the courts of Singapore. An unenforceable provision does not invalidate the remaining lawful terms.
